This Privacy Policy describes how My HR Pros (“we,” “us,” or “our”) collects, uses, discloses, and protects information about visitors to our website at myhrprofessionals.com (the “Site”) and individuals who inquire about or use our services. Please read this policy carefully. By using the Site, you agree to the practices described below.
Note: This policy covers our marketing website only. The handling of personal data processed on behalf of our business clients through our payroll, HR, and benefits administration services is governed by separate written agreements (Data Processing Agreements) with those clients, not by this policy.
1. INFORMATION WE COLLECT
A. Information You Provide
We collect personal information you voluntarily submit to us, including when you:
- Fill out a contact or consultation request form (name, company, email, phone)
- Submit a referral form
- Send us an email or call us
- Apply for a job or career opportunity
B. Information Collected Automatically
When you visit the Site, we and our service providers automatically collect certain technical information, including:
- IP address and approximate location (city/state level)
- Browser type and version, operating system, device type
- Pages visited, links clicked, time spent on pages
- Referring URL (the page you came from)
This information is used to maintain site security, diagnose technical issues, and understand aggregate usage patterns.
C. Cookies and Tracking Technologies
We use cookies, web beacons, and pixels on our Site, including from the following third-party platforms:
- Facebook/Meta Pixel (ID: 814496009481173 and 814496009481173) — used for advertising analytics and to measure the effectiveness of ads on Facebook and Instagram.
- LinkedIn Insight Tag (Partner ID: 7393140) — used for advertising analytics and to measure campaign performance on LinkedIn.
- WordPress/site functionality cookies — used for basic site operation and user preferences.

You can opt out of interest-based advertising through your browser settings (by disabling cookies), through the Digital Advertising Alliance opt-out at optout.aboutads.info, or through platform-specific settings on Facebook and LinkedIn. Note that opting out does not remove all tracking — it limits how data is used for ad targeting.
We currently do not respond to Do-Not-Track (DNT) browser signals because no uniform industry standard exists. If that standard is adopted, we will update this policy accordingly.
2. HOW WE USE YOUR INFORMATION
We use the information we collect to:
- Respond to your inquiries and provide requested information about our services
- Schedule and conduct consultations
- Send you marketing communications (if you have consented or we have a legitimate interest), such as our newsletter or service announcements
- Measure and improve website performance and user experience
- Operate targeted advertising on third-party platforms (Facebook, LinkedIn) based on site visitor data
- Detect and prevent fraud, security incidents, or abuse
- Comply with legal obligations
We do not sell your personal information to third parties for their independent marketing use.
3. HOW WE SHARE YOUR INFORMATION

- Service Providers: We share information with trusted vendors who help us operate our Site and business, such as our website host, CRM platform (HubSpot), email service providers, and scheduling tools. 4. DATA RETENTION
We retain personal information for as long as necessary to fulfill the purposes described in this policy, unless a longer retention period is required by law (for example, for tax or employment compliance purposes). When information is no longer needed, we delete or anonymize it. Information stored in backup archives is isolated from active use until it can be securely deleted.
5. SECURITY
We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, or disclosure. Sensitive file transfers are routed through our secure file transfer service (myfileguardian.com). However, no internet transmission or storage system is completely secure, and we cannot guarantee absolute security.
6. CHILDREN’S PRIVACY
Our Site and services are intended for business use by adults. We do not knowingly collect personal information from individuals under the age of 18. If we discover that we have inadvertently collected such information, we will delete it promptly. Please contact us at learnmore@myhrpros.com if you believe a minor has submitted information to us.
7. THIRD-PARTY LINKS
Our Site contains links to third-party websites, including chamber of commerce sites, Microsoft Forms, HubSpot, and others. We are not responsible for the privacy practices or content of those sites. We encourage you to review their privacy policies before providing any personal information.
8. YOUR PRIVACY RIGHTS AND CHOICES
Depending on where you reside, you may have certain rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request that we correct inaccurate or incomplete information.
- Deletion: Request that we delete your personal information, subject to legal retention obligations.

California Residents: Under the California Consumer Privacy Act (CCPA) / CPRA, California residents have additional rights, including the right to know what personal information is collected and sold, the right to opt out of the sale or sharing of personal information, and the right to non-discrimination for exercising privacy rights. We do not sell personal information as defined under the CCPA.

9. INTERNATIONAL TRANSFERS
My HR Pros is based in the United States. Our servers and operations are located in the U.S. If you access our Site from outside the U.S., please be aware that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using the Site, you consent to this transfer.
10. UPDATES TO THIS POLICY
We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we make material changes, we will update the “Last Updated” date at the top of this page. We encourage you to review this policy periodically. Continued use of the Site after any changes constitutes your acceptance of the updated policy.
