This Privacy Policy describes how My HR Pros (“we,” “us,” or “our”) collects, uses, discloses, and protects information about visitors to our website at myhrprofessionals.com (the “Site”), individuals who inquire about or use our services, and participants in our SMS communications program. Please read this policy carefully. By using the Site or enrolling in our SMS program, you agree to the practices described below.

Note: This policy covers our marketing website and SMS program only. The handling of personal data processed on behalf of our business clients through our payroll, HR, and benefits administration services is governed by separate written agreements (Data Processing Agreements) with those clients, not by this policy.

1. INFORMATION WE COLLECT

A. Information You Provide

We collect personal information you voluntarily submit to us, including when you:

  • Fill out a contact or consultation request form (name, company, email, phone)
  • Submit a referral form
  • Send us an email or call us
  • Apply for a job or career opportunity
  • Enroll in our SMS communications program by providing your mobile phone number

B. Information Collected Automatically

When you visit the Site, we and our service providers automatically collect certain technical information, including:

  • IP address and approximate location (city/state level)
  • Browser type and version, operating system, device type
  • Pages visited, links clicked, time spent on pages
  • Referring URL (the page you came from)

This information is used to maintain site security, diagnose technical issues, and understand aggregate usage patterns.

C. Cookies and Tracking Technologies

We use cookies, web beacons, and pixels on our Site, including from the following third-party platforms:

  • Facebook/Meta Pixel (ID: 814496009481173) — used for advertising analytics and to measure the effectiveness of ads on Facebook and Instagram.
  • LinkedIn Insight Tag (Partner ID: 7393140) — used for advertising analytics and to measure campaign performance on LinkedIn.
  • WordPress/site functionality cookies — used for basic site operation and user preferences.

You can opt out of interest-based advertising through your browser settings (by disabling cookies), through the Digital Advertising Alliance opt-out at optout.aboutads.info, or through platform-specific settings on Facebook and LinkedIn. Note that opting out does not remove all tracking — it limits how data is used for ad targeting.

We currently do not respond to Do-Not-Track (DNT) browser signals because no uniform industry standard exists. If that standard is adopted, we will update this policy accordingly.

D. SMS Program Data

When you enroll in our SMS communications program, we collect:

  • Your mobile phone number
  • Opt-in method, date, and time (required for TCPA compliance)
  • Opt-out requests and dates
  • Message delivery status and interaction logs

This data is used solely for the purpose of delivering SMS notifications and maintaining compliance records. Your mobile number will not be shared with third parties for their independent marketing use.

2. HOW WE USE YOUR INFORMATION

We use the information we collect to:

  • Respond to your inquiries and provide requested information about our services
  • Schedule and conduct consultations
  • Send you marketing communications (if you have consented or we have a legitimate interest), such as our newsletter or service announcements
  • Deliver SMS notifications related to payroll, HR updates, benefits reminders, onboarding, and time and attendance (for enrolled SMS participants)
  • Measure and improve website performance and user experience
  • Operate targeted advertising on third-party platforms (Facebook, LinkedIn) based on site visitor data
  • Detect and prevent fraud, security incidents, or abuse
  • Comply with legal obligations, including TCPA and CTIA requirements for SMS communications

We do not sell your personal information to third parties for their independent marketing use.

3. HOW WE SHARE YOUR INFORMATION

We may share your information in the following circumstances:

  • Service Providers: We share information with trusted vendors who help us operate our Site and business, such as our website host, CRM platform (HubSpot), email service providers, scheduling tools, and SMS delivery platforms. These vendors are contractually required to protect your data and use it only as directed by us.
  • Advertising Partners: We share data with Facebook/Meta and LinkedIn through pixel technology for advertising measurement and retargeting purposes, as described in Section 1(C).
  • Third-Party Portals: Our Site links to PrismHR and payrollservers.us for employee and admin portal access. These platforms have their own privacy policies and data practices separate from ours.
  • Business Transfers: If My HR Pros is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
  • Legal Requirements: We may disclose information when required by law, court order, or government authority, or to protect the rights and safety of My HR Pros, our clients, or others.

4. DATA RETENTION

We retain personal information for as long as necessary to fulfill the purposes described in this policy, unless a longer retention period is required by law (for example, for tax or employment compliance purposes). SMS opt-in and opt-out records are retained for a minimum period required under TCPA regulations to demonstrate proof of consent. When information is no longer needed, we delete or anonymize it. Information stored in backup archives is isolated from active use until it can be securely deleted.

5. SECURITY

We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, or disclosure. Sensitive file transfers are routed through our secure file transfer service (myfileguardian.com). However, no internet transmission or storage system is completely secure, and we cannot guarantee absolute security.

6. CHILDREN’S PRIVACY

Our Site and services are intended for business use by adults. We do not knowingly collect personal information from individuals under the age of 18. If we discover that we have inadvertently collected such information, we will delete it promptly. Please contact us at learnmore@myhrpros.com if you believe a minor has submitted information to us.

7. THIRD-PARTY LINKS

Our Site contains links to third-party websites, including chamber of commerce sites, Microsoft Forms, HubSpot, and others. We are not responsible for the privacy practices or content of those sites. We encourage you to review their privacy policies before providing any personal information.

8. YOUR PRIVACY RIGHTS AND CHOICES

Depending on where you reside, you may have certain rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request that we correct inaccurate or incomplete information.
  • Deletion: Request that we delete your personal information, subject to legal retention obligations.
  • Opt-Out of Marketing: Unsubscribe from marketing emails using the unsubscribe link in any email or by contacting us directly.
  • Opt-Out of SMS: Reply STOP to any SMS message at any time. You will receive a one-time confirmation and no further messages will be sent. Additional supported keywords: QUIT, CANCEL, UNSUBSCRIBE, END.
  • Opt-Out of Ad Targeting: See the cookie opt-out options described in Section 1(C).

California Residents: Under the California Consumer Privacy Act (CCPA) / CPRA, California residents have additional rights, including the right to know what personal information is collected and sold, the right to opt out of the sale or sharing of personal information, and the right to non-discrimination for exercising privacy rights. We do not sell personal information as defined under the CCPA.

9. INTERNATIONAL TRANSFERS

My HR Pros is based in the United States. Our servers and operations are located in the U.S. If you access our Site from outside the U.S., please be aware that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using the Site, you consent to this transfer.

10. SMS COMMUNICATIONS PRIVACY

10.1 SMS Data Collection & Use

When you enroll in the My HR Pros SMS program, we collect your mobile phone number, opt-in consent records, and message interaction logs. This data is used solely to deliver SMS notifications and to maintain legally required compliance records under TCPA guidelines and CTIA Best Practices. We do not use SMS data for advertising or share it with third parties for marketing purposes.

10.2 Opt-In Consent

Your participation in the SMS program requires explicit one-to-one consent in compliance with 2026 TCPA guidelines. By opting in, you consent to receive messages from My HR Professionals only. Consent cannot be shared with other companies or third-party entities without your direct approval.

You may opt in through any of the following methods:

  • Web Form: By checking a clearly labeled checkbox explicitly stating SMS program enrollment during the opt-in process.
  • Verbal Consent: By clearly agreeing to SMS participation after being read a compliant SMS consent disclosure.
  • In-Person Paper Form: By signing or completing a paper intake form that includes a dedicated SMS consent section.

10.3 Message Frequency

Message frequency varies based on your employment activity and HR events. You may receive up to 10 messages per month, unless urgent notifications are required. Standard carrier message and data rates may apply. My HR Professionals is not liable for any carrier charges incurred.

10.4 Opt-Out & Help

You may opt out of SMS communications at any time by replying STOP. Additional supported opt-out keywords: QUIT, CANCEL, UNSUBSCRIBE, END. You will receive a one-time confirmation message and no further messages will be sent.

10.5 Record-Keeping & Compliance

We maintain detailed logs of all opt-ins and opt-outs, including dates, times, and methods of consent, to satisfy TCPA 2026 proof-of-consent requirements. All SMS communications are conducted in accordance with applicable federal and state regulations.

10.6 SMS Disclaimers

Message delivery depends on carrier networks. We cannot guarantee uninterrupted service or specific delivery times. My HR Professionals is not liable for any delays or failures in SMS delivery caused by carrier networks or technical issues beyond our control.

11. UPDATES TO THIS POLICY

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we make material changes, we will update the “Last Updated” date at the top of this page. For material changes affecting the SMS program, we will also notify enrolled participants via SMS. Continued use of the Site or participation in the SMS program after any changes constitutes your acceptance of the updated policy.
